Your information

Privacy policy

Aftercare Team Limited (company number 14061735) is responsible for the personal information described here.

Last updated: 1 November 2026

Information we collect and use

We use the name, business and contact details, messages, delivery information and order details you provide to respond to enquiries, arrange calls, supply products and provide our services. We also process necessary technical information to deliver and secure the website, including information in hosting and security logs.

We rely on steps you request before a contract, performing a contract where applicable, legal obligations, or our legitimate interests in responding to business enquiries, administering services and protecting our systems. Optional website analytics rely on your consent.

Required enquiry and order fields are needed to respond or fulfil the request. The enquiry telephone field is optional. Please do not send passwords, payment-card details, customer records or sensitive information through an enquiry.

Enquiries and bookings

Our enquiry form sends your details to our business inbox. It uses an essential session cookie, form-security tokens and short-lived keyed network codes to prevent abuse. The form's abuse file does not store full IP addresses or message contents. Enquiries are not copied into shop order or NFC product records.

When you choose online booking, you leave our website for Zoho Bookings. Booking details include your name, business contact information, telephone number and appointment details. We use these to arrange the call and manage confirmations, reminders, cancellations and rescheduling where available. Zoho processes appointment information and related booking notifications. We do not currently connect Zoho Bookings to an external calendar. Read Zoho's privacy information.

Our enquiry and booking pages do not load website analytics. An enquiry or booking does not sign you up for marketing or a subscription.

Free stand applications and hosting records

We use business/contact details, general trading location, your Google Business Profile or review link, relevant online business presence and information about your review needs to assess and respond to your application. We may check the public business information you supply. Applications are assessed individually; an enquiry does not guarantee a stand. We request full delivery details after approval.

For an approved trial, we keep the necessary approval, terms acceptance, stand reference, delivery, activation and hosting dates, authorised contact and destination details. These let us fulfil the offer, arrange the 30-day follow-up, operate the redirect and manage expiry notices, grace periods and any actively chosen renewal. We discuss recorded activity and review growth during the trial without treating taps as proof of reviews. Trial participation is not conditional on promotional marketing consent. The trial page and its terms do not load website analytics.

We use steps you request before an agreement or performance of the agreed arrangements where applicable, and our legitimate interests in assessing business suitability, administering the offer and keeping proportionate service records. We assess applications ourselves rather than using solely automated eligibility decisions.

Website analytics and cookies

With your consent, we use Statcounter to understand how visitors find and use our website, including referring websites, pages visited and device or browser information. Statcounter may process technical information such as your IP address and use cookies to measure visits. We use this information to improve our website and understand interest in our products and services. Read Statcounter's privacy information.

Statcounter only loads after you accept analytics. You can decline it without affecting access to the shop, or change your choice using Analytics preferences in the footer. Withdrawing consent stops future tracking; it does not undo information already collected. Our legal basis for optional analytics is consent.

We store your analytics choice and basket contents in your browser's local storage to remember your preference and operate the shop. A necessary checkout session cookie keeps your checkout secure and connects your payment to your order. We save contact details, delivery information, basket contents and order status when you continue to payment, including when payment is not completed. Checkout information is used to fulfil your order, rather than for visitor profiling. Our hosting providers may also keep technical server logs for reliability and security.

Sharing and payments

We use hosting, email, IT, booking/calendar and delivery service providers as needed to respond, operate the website and fulfil agreed arrangements. We share your order total and delivery name and address with PayPal to arrange payment. We store payment references and status, but do not collect your full card details. Payment providers process information under their own privacy terms. We may also disclose information where legally required or for necessary professional advice and protection of legal rights.

We use trusted third-party providers for website hosting, business email and related services. These providers process personal information on our behalf and may use approved subcontractors. Their published terms provide for data protection safeguards for international transfers, including standard contractual clauses where applicable. You can contact us at hello@aftercareteam.co.uk for further information about relevant providers, international transfers and copies of applicable safeguards.

How long we keep information

We keep closed enquiries that do not become customers for up to six months after closure, and unsuccessful free stand applications for up to six months after rejection. We delete them sooner where they are no longer needed. This covers relevant emails and working records. We review these records monthly to identify those due for deletion and delete them by the end of the applicable retention period.

Records needed for an approved stand, an active customer relationship, hosting and renewal arrangements, accounting, a complaint or a dispute are assessed separately according to those purposes and applicable legal requirements. We retain only the information needed and review it when it is no longer required. Unsuccessful applications are not kept for the full stand-hosting period simply because they were submitted. Contact us if you need information about retention for a particular record.

The six-month periods above apply to active mailbox folders and working records. Deleted information may remain in restricted recovery or backup copies, and technical logs are managed separately for security, recovery and legal purposes under the relevant provider's controls. Their retention is assessed according to those purposes rather than an immediate deletion from every copy. If information is restored, we reapply deletions due under our active-record retention policy before returning it to ordinary use.

Purchased direct Google products and complimentary reports

Standard purchased Google review products link directly to your agreed Google review page, without ACT redirect hosting or ACT tap tracking. Google handles visits under its own privacy information. We still process the order information and website data described in this policy.

If you request the complimentary performance report, we use your business and contact details, the relevant Google profile, sale and activation information, dated review-count and displayed-rating observations, relevant public review content and report/follow-up notes to prepare and provide it. We use only necessary excerpts or paraphrases, avoid unnecessary reviewer identification and keep sensitive issues proportionate. Public reviews can still contain personal information. The report does not identify who used the NFC product or prove the source of a review.

We record your requested delivery channel and any separately requested information about optional review-management support. Buying a product does not enrol you in a subscription or general marketing list. We respect objections to marketing. Necessary service communications and promotional communications are assessed separately under the applicable rules.

NFC links and recorded activity

Our free-stand promotion uses ACT-hosted review links. We also retain hosted links for existing customers, demonstration products and other separately agreed arrangements. Activity recorded through these links is separate from website analytics. It records link interactions, not completed reviews or necessarily different people. Destination websites have their own privacy policies.

We process product references, request times and classifications to operate, secure and report on the redirect service. Short-lived keyed filtering codes help identify repeats and abuse; full IP addresses are not stored in product tap history. The redirect does not set analytics cookies or use fingerprinting. Hosting security logs may separately apply. Our legitimate interests in providing and protecting the service are the basis for this processing.

We keep proportionate product assignments, contact and destination records while needed to provide the service, handle hosting arrangements, resolve issues and meet relevant record-keeping requirements. Activity records and combined counts are reviewed according to their service and security purpose.

Your choices and rights

Depending on the circumstances, you may ask for access, correction, deletion, restriction or portability of your information, or object to processing based on legitimate interests. You may withdraw consent to optional analytics at any time using Analytics preferences in the footer. You can decline analytics and still use the shop.

For privacy questions or rights requests, contact hello@aftercareteam.co.uk. We may need to confirm your identity. You can also complain to the Information Commissioner's Office at ico.org.uk.
